Gmail in the @uw.edu.pl domain
Who is it for?
An account in the @uw.edu.pl domain is created for:
- UW employees;
- doctoral students;
- UW retirees and pensioners (account retained after retirement);
- persons collaborating with UW under civil law contracts or other agreements — only in justified cases, upon request of the head of the organisational unit, after registration in USOS, submitted in DocSense;
- functional accounts for bodies, organisational units, doctoral organisations.
How to create a Gmail account?
Accounts for employees and doctoral students are created automatically when the user’s data appears in USOS.
Functional account — via DocSense (Create document -> Application for Google services), with the approval of the head of the organisational unit.
An account for a collaborating person (civil law contract or other agreement) — only in justified cases, after registration in USOS, via DocSense (Create document -> Application for Google services), upon request of the head of the organisational unit.
Where to log in to Gmail?
- mail.google.com
- if you already use another Gmail account, select the “add new account” option.
Password reset and change
- Change and forgotten password reset: mojekonto.uw.edu.pl.
Password policy
The password must:
- consist of at least 14 characters;
- contain at least 1 uppercase letter, 1 lowercase letter and 1 digit;
- not contain the user ID or first/last name;
- allowed special characters:
!-_?#.,%$*+=().
Multi-factor authentication (MFA / 2FA)
MFA is mandatory. The mechanisms offered by the Google Workspace platform are permitted:
- Gmail mobile app;
- Google Authenticator or equivalent app (TOTP);
- SMS codes;
- backup codes.
Account limits
- Account capacity: 200 GB.
- Maximum message size (with attachments): 25 MB. Send larger files as a Google Drive link.
- Maximum number of recipients per message: 2000 (including 500 external).
Account deactivation
The account is automatically deactivated based on data in USOS:
- employee — within 7 days of termination of employment (except for retirement);
- doctoral student — within 12 months of removal from the doctoral student list or completion of the doctoral degree procedure;
- collaborating person — within 7 days of end of collaboration;
- functional account — upon loss of justification;
- retiree / pensioner account — retained.
Terms of use
- Do not share login credentials with third parties or IT systems not managed by UW.
- Do not forward UW mail to external systems.
- When sending special category data or data covered by legally protected secrecy, use encryption of messages or attachments.
- Before termination of employment / collaboration, delete private messages from the account.
